Job Description
We are looking for a highly organized and detail-oriented Legal Executive Assistant to provide comprehensive support to legal professionals in a dynamic environment. The ideal candidate will excel in managing complex schedules, handling multi-line phone systems, and contributing to business development efforts. This role is based in the Greater Boston area, and offers an opportunity to work in a fast-paced and collaborative setting.
Responsibilities:
• Coordinate and maintain detailed calendars for legal professionals, scheduling meetings, appointments, and deadlines.
• Manage incoming and outgoing communications via a multi-line phone system, ensuring calls are routed appropriately.
• Assist with business development activities, including preparing materials and supporting client outreach efforts.
• Organize and maintain legal documentation, ensuring files are accurate and up-to-date.
• Prepare and format correspondence, reports, and other legal documents with a high degree of accuracy.
• Arrange travel plans, including booking flights, accommodations, and transportation for legal professionals.
• Act as a liaison between internal teams and external clients to facilitate effective communication.
• Handle confidential information with the utmost discretion and professionalism.
• Support the legal team with ad-hoc administrative tasks as needed.
• Monitor and order office supplies, ensuring the workspace is well-equipped and organized.
• Minimum of 2+ years of experience as an executive assistant, preferably in a legal setting.
• Proficiency in managing complex calendars and scheduling systems.
• Demonstrated ability to handle multi-line phone systems efficiently.
• Strong organizational skills and attention to detail.
• Excellent written and verbal communication abilities.
• Experience with business development support is a plus.
• Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
• Ability to maintain confidentiality and handle sensitive information with discretion.
