Job Description

The Project Management Associate Director will be responsible for the creation, integration, and execution of multiple complex development plans within Medical Affairs . This role partners closely with Project Leaders and cross-functional team members to build and maintain fully integrated project plans, ensuring deliverables are achieved on time, within scope, and on budget.

The Associate Director will also oversee comprehensive communication including project updates, risk management, and escalation of issues to senior leadership. Additional responsibilities include supporting departmental organizational projects, designing tools and processes to enhance project management workflows, and serving as a resource and mentor to other team members and departments.

Key Responsibilities

• Support Medical Affairs in developing, implementing, and tracking progress of Integrated Medical Strategy Plans and KPIs.
• Facilitate project reviews through governance committees, ensuring follow-through on approved objectives.
• Independently lead multiple, complex projects and teams, including plan, budget, and logistics development.
• Serve as Project Leader for cross-functional initiatives, engaging with stakeholders across departments.
• Conduct scenario planning and risk assessments , providing recommendations on alternative plans and contingencies.
• Summarize project updates, risks, and opportunities for management presentations.
• Communicate project issues and alignment updates to senior leadership.
• Prepare concise reports, meeting minutes, and ensure proper tracking of action items.
• Maintain consistent communication with internal and external stakeholders to track status, milestones, and risks.
• Drive process improvements and best practices in project management to enhance departmental success.
• Coordinate project management tools within the department and mentor junior project managers.

Required Qualifications

• Minimum of 8 years experience in project management within Medical Affairs, Clinical Development, or the pharmaceutical industry (or equivalent combination of education and experience).
• Proven ability to enable project goals and successfully drive projects forward.
• Proficiency with Project Management tools (Smartsheet, MS Project, or equivalent).
• In-depth knowledge of development project planning and expertise across multiple program areas.
• Demonstrated experience leading complex cross-functional project teams and mentoring professionals.
• Strong communication skills (written and verbal) with ability to influence, align, and persuade stakeholders at all levels of the organization.
